Privacy Policy
Solutions Sparkops Inc.
Effective November 8, 2026.
Notice: on November 8, 2026, this policy was rewritten for Cimyko and its website, cimyko.com.
This policy explains what personal information Cimyko and its website collect, why, who has access to it, how long it is kept and how to exercise your rights. For our other activities, the sparkops.ca policy applies.
Who we are
Solutions Sparkops Inc., Hudson, Quebec, NEQ 1179657987. We design and run Cimyko, management software offered online to print shops.
Person in charge of the protection of personal information: the President of Solutions Sparkops Inc., through the contact form.
The cimyko.com website
- Visiting: the site sets no cookies. Our host processes your IP address to display the site. No audience measurement, advertising or social media tools; we do not track your browsing.
- Contact form: your name, your email address and your message, to answer you. The message is forwarded to us by email; the site does not keep it.
The Cimyko application
Who is responsible. Each print shop that uses Cimyko is responsible for the information it puts in it. We process that information on the print shop’s behalf, according to its instructions, and only to provide it with the service. It is not used for any other print shop and is not sold.
What Cimyko holds:
- the print shop’s team: name, email, role and what the team enters, including, if the print shop turns these features on, working hours and feedback recorded from the shop floor;
- the print shop’s customers: contact information, delivery addresses, requests, quotes, orders, files, proofs, messages and invoices. Each customer sees only its own records, in its customer portal.
Sign-in with Microsoft or Google. If you sign in with your Microsoft or Google account, Cimyko receives only your name and email address from it, to identify you. It has no access to your password, your emails or your files.
Cookies. The application sets only the cookies needed for sign-in and for it to work (session, customer portal language); no measurement or advertising cookies.
Your requests. For information Cimyko holds about you, write to the print shop that opened your account. If you write to us, we forward your request to it.
Cimyko and QuickBooks Online
What it is. With a print shop’s authorization, Cimyko connects to its QuickBooks Online company, so that each job is invoiced once, to the right customer, for the right amount, and the print shop knows which invoices are paid. This data is used for nothing else and is not sold.
What Cimyko reads in QuickBooks: the company name; customers (name, number and billing email); products and services; invoices and credit memos (number, customer, date, amounts, job and purchase order numbers); invoice balances, to know which invoices are paid; to test the connection, one supplier record, which is not kept.
What Cimyko writes in QuickBooks: invoices issued in Cimyko; customers that do not yet exist in QuickBooks (name, contact information, addresses and note), at their first invoice or when the print shop’s team asks for it. Cimyko records no payment and neither changes nor deletes any existing transaction.
Who can connect or disconnect. Only the print shop’s administration. It clicks "Déconnecter" (Disconnect), under Paramètres (Settings), QuickBooks tab: Cimyko then revokes the authorization at Intuit and deletes its connection tokens. Cimyko can also be removed from the list of connected apps in QuickBooks.
Where the information is and who has access
- Hosting: Vercel (application and files) and Neon (database), in Sparkops accounts, in the United States. QuickBooks connection tokens are encrypted there. Cimyko reports its technical errors to Sentry.
- Services used by Cimyko: Anthropic (Claude), artificial intelligence that reads incoming requests, emails and files to prepare quotes and answer the team’s questions; Microsoft 365 and Resend, to receive and send email; Intuit QuickBooks, for the print shop’s invoicing; the carriers chosen by the print shop (for example Canada Post or Purolator), which receive the delivery address.
- At the print shop: team members, according to their role in Cimyko.
- At Sparkops: the President and our software agents, under his responsibility, with only the access their task requires.
Several of these providers process or store information outside Quebec, including outside Canada.
How long we keep it
- A print shop’s information: as long as it uses Cimyko; when the service ends, we return it or destroy it, according to its instructions. QuickBooks tokens are deleted as soon as QuickBooks is disconnected.
- Messages from the contact form: as long as needed to answer you and follow our business relationship. We review them once a year and delete those no longer needed.
Your rights
You may:
- find out whether we hold information about you and get a copy;
- have it corrected if it is inaccurate, incomplete or ambiguous;
- receive the information you provided in a commonly used digital format;
- withdraw your consent to its use or disclosure, subject to our legal obligations.
For information a print shop puts in Cimyko, contact that print shop. For anything else, write to us through the contact form. We verify your identity and answer you in writing within 30 days. Access is free; only reasonable fees for copying or sending may be charged, and we tell you in advance. If we refuse or do not answer within 30 days, you may apply to the Commission d’accès à l’information (cai.gouv.qc.ca) within the following 30 days.
Complaints
Write to us through the contact form. We acknowledge receipt, review the complaint and answer you in writing within 30 days. If our answer does not satisfy you, you may file a complaint with the Commission d’accès à l’information.
Security and incidents
Our measures are described in our information security policy: individual access limited by role, encrypted transmissions, encrypted connection tokens.
We record every confidentiality incident in a register and notify without delay the print shop whose information is affected. If an incident presents a risk of serious injury, the Commission d’accès à l’information and the persons concerned are notified.
Our internal rules
The President of Solutions Sparkops Inc. holds every responsibility, at every stage: collection, use, retention, destruction, requests, complaints and incidents. He approved this policy as the person in charge. Our software agents act only on his instructions. This policy is reviewed every year.
